Office Manager

We are looking for a resourceful, detailed-oriented and highly organized Office Manager and Executive Assistant to manage and own the day-to-day operations of our Headquarters. This role will support the CEO and other executives including the CTO and the VP Finance & Operations with tasks including office concierge, facilities management, office management, office enhancements, basic IT support, daily administration functions, and internal events. The Office Manager must be highly reliable, have strong attention to detail and critical thinking skills.

  • Set the tone of the office with a positive attitude, get-it-done mentality, initiative, and creative ideas
  • Support Executive team with administrative tasks including:

    1. Filing and organizing physical or digital paperwork
    2. Support coordination for internal and external meetings, including scheduling and catering
    3. Assist with their daily routine and on occasion, help plan travel
    4. File expense reports as needed
    5. Help implement all compliance policies and procedures
    6. Other duties/projects as assigned
  • Support other teams (HR, IT, Engineering, Publishing, etc.) within the office with planning and execution when needed including:

    1. Travel for candidates
    2. Recruiting scheduling and communication
  • Responsible for updates to corporate website and LinkedIn account
  • Manage office 3rd party service providers including IT and Facilities. Track IT and Facilities related projects and issues
  • Learn and troubleshoot issues within company IT and platforms
  • Update and maintain IT and Facilities physical and digital asset inventory
  • Perform general office management duties including greeting office visitors, mail/package processing, office supply management, and oversight of office machines
  • Ensure the office is kept neat and portrays a professional image

    1. Kitchen (grocery and supplies) fully stocked, clean and inviting on a daily basis
    2. Meeting rooms are organized and maintained
  • Coordinate/plan company social events taking place during and after business hours


  • At least 4 years of relevant office administration experience
  • Previous experience working in startup companies is ideal
  • Excellent interpersonal skills including amiable demeanor on the phone, in person and effective written communication
  • Solid organizational and multitasking skills
  • Detail and service-oriented professional
  • In-depth knowledge of office management practices and procedures
  • Highly proficient with computer applications
  • Experience with IT and understanding of computer hardware - extra points if you can build a computer from scratch or setup networked printers
  • Strong organizational skills and ability to respond appropriately to pressures, deadlines and frequent changes in priorities and schedules
  • Demonstrated flexibility and the ability to take initiative, work independently, and handle multiple issues and competing priorities in a dynamic work environment.
  • Bachelor’s degree preferred
